Itineraries

An itinerary is a route divided into legs showing the planned locations and dates of the main stopovers from the start (initial departure) to the end (final arrival), which is the destination of the vessel's journey (also called voyage, trip, torn, or expedition).

Each leg has a departure and an arrival date and location. It may also have additional waypoints in between, which might be stopping points or course change points.

Itineraries for vessels at sea are never precise! We use three accuracy levels for the planning status to avoid confusion about what is likely to happen or not:

  • Pending (not accurate) – initial idea, possibilities
  • Preliminary (kinda accurate) – changes may still apply
  • Planned (fairly accurate) – this is what's meant to happen

The duration of an itinerary is counted in days (start to end date) and the leg in nights (departure to arrival date). That is because you may arrive on a Monday and leave on a Tuesday. Therefore, there can be confusion if you were there for one or two days, but it would strictly count as one night without any confusion.

Therefore, you would say you went on a 14-day holiday or trip (the itinerary) and spent 13 nights on all your legs combined, for example.

There is also an important distinction between planning (what's the intention) and estimating (what's calculated). A time of arrival is always an estimate as a calculation is required; that's why it is called ETA (Estimated Time of Arrival).

You can't plan to leave San Francisco and arrive in Hawaii 10 minutes later, regardless of how desperate your intention is. If you intend to arrive in Hawaii by a certain date and estimate 10 days for the journey, then you can plan to leave San Francisco 12 to 15 days before. Therefore, your departure date is planned (what's the intention), and the arrival is still an estimate (what's calculated based on season, winds, currents, and many other factors). Plans can change due to weather, government requirements, breakdowns, delays, etc.

The following tips are worth noting to manage your itinerary and maintain an excellent overview:

  • 1) Name your itinerary with a short and clear title, such as 2025 Antarctic Expedition or 2025 Italy Family Torn, that is descriptive, easy to remember, and simple to refer to in conversations.
  • 2) You can set your itinerary's visibility to private while planning it, share it with only those you contact, or share it with anyone who views your profile.
  • 3) Next, add each leg of the significant stopovers by date and location.
  • 4) Then, keep updating each leg as required.

Be realistic and mindful when planning an itinerary. People will arrange their timing and life around it, taking time off work, booking flights, arranging accommodation, etc. It's crucial to let the crew know how accurate they can expect the itinerary to be.

Dear Shipmates

Introduction

Since September ‘23, I have undertaken an exploration adventure by sailing with my sailing vessel from Greece to the Caribbean, and spending some time in the region. For parts of this voyage I have been joined by like minded sailors, who are now my new friends. I am currenty looking for a couple of sailors to take part in the return trip.

My plans:
- Travel from Turks & Caicos to Bermuda, in parallel but outside of the ARC Europe rally (which starts in St. Martin)
- Join the ARC Europe rally in Bermuda.
- Cross to the Azores islands with the rally fleet (about 30+ boats).
- Small cruise in the Azores with the rest of the fleet
- End crossing in Lagos, Portugal, and take the boat to a marina/ boatyard probably around Gibraltar (TBD) for temporary storage until her next voyage (Mediterranean crossing in September).

The boat is a Hanse 418, model 2020, and its equipment has been adapted for blue water.
At 41 feet, she is relatively large for a three-cabin configuration, so she is relatively spacious. Each crew member has his own individual berth.
She is particularly easy to sail, even by short-handed crews.
We aim to use the engine as little as possible. To this effect we have different sail configurations available allowing to take advantage of a quite wide range of wind strenths and directions.

We take safety on board very seriously:
- Both AIS and a Radar are fitted to aid in collision avoidance.
- Electronic MOB device on each life jacket
- Satellite communication systems
- Folding propeller with rope cutter.
- Emergency steering system for steering malfunction (happened during previous east to west crossing) or even rudder loss.

Sustainability is among our concerns. A watermaker is fitted allowing to avoid carrying plastic bottles. There is no diesel-based generator on the boat, instead we use solar panels and a hydro generator, and for cloudy days at the dock a fuel cell generator, which creates electricity by consuming a small quantity of methanol.

Crew:
In total we should will be a crew of 2-4 people, mixed male/ female, and multicultural.

A few words about me, the Captain:
I was born in February '64, and I have sailed many thousands of miles in all weather conditions, in the Aegean and Ionian seas, have crossed the Atlantic ocean, and completed several night voyages, single handed trips, and many regattas.

In my non-sailing life, I am the founder and current managing director of a fintech company developping software for investment management and financial risk management. I am also an amateur sax player.

I am married and have two young children, all of which wish I would spend less time sailing and more at home/ office :)

What are the prerequisites for participating?
- Sailing competency, making sure that you will be a member of a fully functional team relying on each other.
- Being very responsible, well organized, respectful, and with proven ability to live with other people in a small space.
- Share the same passion for sailing and exploring remote corners of our planet, without leaving an environmental or other footprint.

What are the main tasks on board?
- Carrying out a navigation watch, alone or as part of a team. Keeping the boat on course, monitor/ alert/ avoid any navigational danger using visual clues as well as instruments including charts, AIS, Radar, VHF. Adjust the sail plan where needed. When there are night passages, we usually have 2 or 3-hour watch periods, with 1-2 people on deck depending on weather and traffic conditions. During the day, usually watches are more informal.
- Assist in the mooring procedure by providing guidance from the bow, handling the fenders and mooring lines for securing the boat to the dock, cleaning and organising the boat after arrival on the dock.
- Assist in Galley operations including provisioning, cooking, and cleaning.
- Problem solving relevant to equipment failures or to passage difficulties.

We work as a team, with many social moments but also with plenty of individual time for each one to read our books, take photos, listen to our music, or just relax alone at the bow.

The mood aboard is always relaxed yet in control. We never shout and are always respectful and patient with each other. We always do our best to keep the boat in perfect condition, tidy and clean.

Each crew member should have his own medical insurance, making sure that it does cover a possible medical treatment in all countries visited, just in case. Possible immigration costs and entry formalities in the countries visited, if any, are also a consideration for each crew member to take care of individually.
